Karaccounts – Client Onboarding Troubleshooting Guide

Below are some helpful tips for Karaccounts clients when finding the information you need for your client onboarding with us.

Your Company UTR

Also known as a company tax reference, this is a 10 digit number and can be found on any correspondence from HMRC related to your Corporation Tax

If you do not know your Company UTR, you can request a reminder via the HMRC Website

Your Companies House Authentication Code

This is a 6 digit alphanumeric code issued by Companies House to every Limited Company. 

Please note – we cannot file your company accounts without this code. Please ensure that you have provided us with this code in good time before your accounts are due. 

If you do not know your Companies House Authentication Code you can request a reminder via the Companies House website.

You will need to create an account or sign into Companies House WebFiling and follow the steps. 

The code will be sent to your Registered Office Address, please allow a few weeks for this to arrive as there can be delays. 

Your Personal UTR

This is a 10 digit number and can be found on any correspondence from HMRC related to your Personal Tax

If you do not know your Personal UTR, you will need to call HMRC to request a reminder.

PAYE References

A PAYE Employers PAYE Reference is given to every business that registers with HMRC as an employer and has set up the Pay-As-You-Earn (PAYE) scheme. This reference number is a unique set of letters and numbers used by HMRC to identify your company and will be included on the confirmation of the registration letter that HMRC sends to you.

If you have lost your Employer Reference number, the first place to look is on any correspondence about PAYE from HMRC. It will also be on any P45s and P60s that have been issued to your employees.

An Accounts Office Reference will be issued to you by HMRC when you register your business as an employer, at the same time as they issue Employer PAYE Reference number.

The Accounts Office Reference number is made up of 13 digits. The first three digits are your PAYE accounts office reference, relating to the tax office looking after your account. The PAYE office reference number is followed by two letters and then eight numbers, for example: 123PA12345678.

If you lose your Accounts Office Reference number, check on any PAYE correspondence from HMRC in the first instance. If you still cannot locate the number, you can contact HMRC’s employer helpline to ask for a copy to be posted to you.

Your Government Gateway Account: 

It is best practice as a business owner for you to have access to your Government Gateway Account for both your personal and business taxes.

Important and useful information can be found via your Government Gateway account such as your tax reference numbers, tax liabilities and payment due dates and you can update details such as your address and other contact details etc.

As HMRC moves more towards digital tax, your Government Gateway account will become more important so it’s always best to make sure you have your log in and each tax is registered on your account.

Please note, you may have more than one Government Gateway Account – many people have a separate log in for their Personal Tax and Business Tax, so this is something to look out for if you are having issues

Accessing your Government Gateway Account: 

If you are having issues accessing your Government Gateway account please follow the instructions on the HMRC website: https://www.gov.uk/log-in-register-hmrc-online-services/problems-signing-in

Adding your tax services to your Government Gateway Account

When you register for a new HMRC tax service i.e. Corporation Tax, PAYE, or VAT, you will need to add this service on to your Government Gateway Account.

To add a tax to your Business Tax Government Gateway Account, log in and click one of the following:

  • ‘get online access to a tax, duty or scheme’ from the home page
  • ‘add a tax, duty or scheme to your account’ from the top ‘manage account’ menu

HMRC will then send you an activation code in the post. Once you have received this, you will need to log back in to your Government Gateway account and enter this activation code (there should be a prompt on the home screen when you log in).

Once the tax has been activated, you will be able to authorise Karaccounts as an agent using the instructions in Section 3 of this form.
